The Office & Program Coordinator is a key full-time position within the innovative and driven GMC organization.

Key Competencies:  The Office & Program Coordinator is responsible for assisting in the advancement of the Chamber’s mission by executing critical operational support and program logistics as part of the Chamber staff.  Key competencies include:

  • Strong organizational skills and aptitude to manage multiple priorities at once
  • Ability to coordinate key logistics and details prior to and following events and programs of varying sizes
  • Excellent customer service mindset and ability to interact with members and the public to fulfill questions or requests
  • Exceptional proficiency in Microsoft Office Suite products and customer relations management database software
  • Outstanding professional writing and oral communication skills
  • Team player able to work both independently and collaboratively

General Responsibilities:  This key role coordinates the operations and schedule of the Chamber office, working with the CEO to improve internal efficiencies. The Office & Program Coordinator will manage reservations and walk-in flow to the Chamber, vendor relations, and event logistical support, as well as provide direct administrative assistance to the team.  This individual will work closely with the Lead Planner for each event to execute the critical organizational tasks that make a high-quality program.  Although the Office & Program Coordinator interfaces with members and the community during the Chamber’s open hours, it is primarily a ‘behind-the-scenes’ operational position and requires someone who enjoys performing key tactical objectives.

Specific Duties:

  • Execute back-end logistics for programs, including correspondence with venues and caterers, creation of event calendar pages, management of attendee registrations and communications
  • Support and coordinate Chamber vendors, including office supplies, services, and equipment
  • Serve as team expert for customer relationship management software, protecting integrity of member data and conducting reports as needed
  • Distribute member-wide pre-event and post-event email communications, in partnership with Lead Planner for that event
  • Manage editorial calendar for the team to ensure member email communications are streamlined and at appropriate cadence, in conjunction with the Director of Marketing & Communications
  • Coordinate coworking HUB usage and conference room reservations through centralized system
  • Greet members and provide customer service to community during the Chamber’s open hours
  • Conduct member benefit tracking and audits, working with the Member Engagement Coordinator
  • Facilitate and track marketing benefit usage among membership, working with the Director of Marketing and Communications
  • Act as administrative coordinator for the Chamber Board of Directors, sending out meeting agendas and materials
  • Fulfill all incoming emails and phone calls to Customer Service, including Certificate of Origin requests
  • Be knowledgeable and resourceful regarding Chamber and City happenings, to better support customer service inquiries
  • Provide other operational and administrative assistance to CEO and team, as needed
